Effective Date: November 5, 2025
ApplyScore ("we," "us," or "our") is committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy ("Policy") describes how we collect, use, disclose, and safeguard personal information when you access or use our AI-powered resume analysis service (the "Platform" or "Services"), which helps job seekers optimize their resumes against job descriptions.
By using the Services, you consent to the practices described in this Policy. If you do not agree with this Policy, please do not access or use the Services. This Policy forms part of our Terms of Service, incorporated therein by reference.
We reserve the right to update this Policy at any time. Changes will be posted on the Platform with the revised effective date, and your continued use of the Services after such posting constitutes acceptance of the updated Policy. We encourage you to review this Policy periodically.
Article 1: Information We Collect
1.1 Personal Information
We collect personal information that you voluntarily provide when using the Services, including but not limited to: email address (optional, for receipts and notifications), payment information processed securely through Stripe, Inc. ("Stripe"), and promotional code usage data. We do not store credit card details directly.
1.2 Resume and Job Description Content
When you upload resume files (PDF or DOCX format) and provide job descriptions for analysis, we temporarily store this content to perform AI-powered analysis. This content is processed through OpenAI's API to generate match scores and improvement recommendations. We treat your resume content as confidential and do not share it with third parties except as necessary for AI processing.
1.3 Technical and Usage Data
We automatically collect technical data including IP address, browser type, device information, pages visited, time spent on the Platform, and interaction logs. We use Google Analytics to understand usage patterns and improve the Services. This data is aggregated and anonymized where possible.
1.4 Information from Third Parties
We may receive information from Stripe for payment verification and fraud prevention purposes. We do not receive personal information from other third-party sources.
Article 2: How We Use Your Information
2.1 Providing and Improving Services
We use your information to process resume analysis requests, generate AI-powered match scores and recommendations, deliver analysis results via unique shareable links, process payments securely, and improve our AI algorithms and service quality through aggregated, anonymized usage data.
2.2 Communication
If you provide an email address, we use it to send payment receipts, analysis result links, service updates, and promotional materials (you may opt out of marketing communications at any time via unsubscribe links or by contacting support@hiir.me).
2.3 Analytics and Optimization
We analyze aggregated, anonymized usage data to understand user behavior, improve AI accuracy, optimize platform performance, and develop new features. We never use individual resume content for training purposes without explicit consent.
2.4 Legal and Security Purposes
We may use your information to comply with legal obligations, enforce our Terms of Service, detect and prevent fraud or abuse, protect the rights, property, or safety of ApplyScore, users, or others, and respond to legal requests from authorities.
Article 3: Sharing and Disclosure of Information
3.1 With Service Providers
We share information with trusted third-party service providers who assist in operating the Services: Stripe for payment processing (subject to Stripe's privacy policy), OpenAI for AI-powered resume analysis (resume content is processed but not retained by OpenAI per their API terms), cloud hosting providers for secure data storage, and analytics services (Google Analytics) for usage insights. These providers are contractually obligated to maintain confidentiality and use your information only as directed by us.
3.2 No Sale of Personal Information
We do not sell, rent, or trade your personal information or resume content to third parties for marketing purposes. Your data is used solely to provide and improve our Services.
3.3 Business Transfers
In the event of a merger, acquisition, bankruptcy, or sale of assets, your personal information may be transferred as part of such transaction, subject to equivalent or better privacy protections. We will notify users of any such transfer.
3.4 Legal Disclosures
We may disclose information if required by law, subpoena, court order, or regulatory authority, or to protect against harm, including in response to national security or law enforcement requests when legally obligated.
Article 4: Cookies, Tracking Technologies, and Analytics
4.1 Use of Cookies and Similar Technologies
We use cookies, web beacons, and similar technologies to enhance your experience, maintain session state, remember preferences, analyze traffic patterns, and prevent fraud. Essential cookies are necessary for Platform functionality; analytics cookies (Google Analytics) help us understand usage patterns and improve services.
4.2 Your Choices
You can manage cookie preferences through your browser settings. Disabling essential cookies may limit certain Services. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.
4.3 Do Not Track
We do not currently respond to "Do Not Track" signals from browsers, as industry standards for such signals remain under development.
Article 5: Data Security
5.1 Security Measures
We implement reasonable administrative, technical, and physical safeguards to protect your personal information against unauthorized access, alteration, disclosure, or destruction, including HTTPS/TLS encryption for all data transmission, secure file storage with encryption at rest, restricted access to personal data on a need-to-know basis, and regular security audits and updates. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
5.2 Data Retention
We retain your personal information only as long as necessary to fulfill the purposes outlined in this Policy: Resume files are automatically deleted 30 days after upload, analysis results are retained indefinitely (accessible via unique links unless deletion is requested), email addresses are retained until you request deletion, payment records are retained for seven (7) years as required by tax and accounting laws, and technical logs are retained for 90 days for security and debugging purposes.
5.3 International Transfers
As a US-based service, your data is primarily stored and processed in the United States. If you access the Services from outside the US, your information may be transferred to, stored, and processed in the US where data protection laws may differ from those in your jurisdiction. By using the Services, you consent to such transfers.

6.4 Other US State Privacy Rights
Residents of other US states with comprehensive privacy laws (e.g., Virginia CDPA, Colorado CPA) may have similar rights. We will honor reasonable requests where applicable law requires.
6.5 European Users (GDPR)
While ApplyScore is a US-based service primarily serving US users, if you are in the European Economic Area, you may have additional rights under the General Data Protection Regulation (GDPR), including data portability and the right to lodge complaints with supervisory authorities. Article 10: Third-Party AI Processing
Our Services utilize OpenAI's API for resume analysis. When you use ApplyScore, your resume content and job description are sent to OpenAI's servers for processing. According to OpenAI's API terms, data sent via their API is not used to train their models and is not retained beyond the time necessary to provide the service (typically seconds). However, you should review OpenAI's privacy policy for complete information. We have chosen OpenAI as our AI provider specifically because of their strong privacy commitments for API users.
